Our Case Study: Supporting the Hong Kong Open

To show how this works in practice, let’s look at our recent example: the Hong Kong Open, a 7 day event organized by the Badminton Association of Hong Kong, China Limited.

Pre-Event Preparation

Our involvement started well before the first match. We carefully screened and hired well over 40 guards and selection of the security ICs, making sure they were not only qualified but also suited to the specific demands of the event. Site visits at the Hong Kong Coliseum allowed us to map out key areas, identify potential bottlenecks, and understand the flow of players, staff, and spectators.

Scheduling was another critical step. With a seven-day event, guard rotations had to be planned meticulously to avoid fatigue while maintaining full coverage. We also conducted onboarding sessions for our guards and security ICs, briefing them on the event’s unique requirements, from the different posts, rotations, player movements and crowd management.

On-the-Ground Execution

During the event, our guards were stationed both inside and outside the Coliseum. Inside, they worked with the internal security team to manage crowd flow, monitored restricted areas, and ensured the safety of players and officials. Outside, they supported player movements between hotels and the stadium, coordinating with our dedicated driver service which we also provide. Two cars were stationed at all times—one at the Coliseum and one at the hotel—to ensure seamless transfers.

On the day

Throughout the event days, our Operational staff members deployed the staff on a daily basis for all shifts. This is to ensure that we achieve our scheduling plan along with ensuring tasks and responsibilities are being handled properly by all guards. 
We also take this time to meet with the client to understand any scheduling/ responsibility changes and action these asap. Along with this, we also use this opportunity to check in with guards to ensure they have full support for any issues that may arise. 
Our operational staff are also available through message communication on a 24/7 hour basis. For any questions or operational updates these are coordinated guards effectively through our communication channels

Handling the Unexpected

Of course, no event goes exactly as planned. Midway through the tournament, a typhoon disrupted schedules and created last-minute staffing challenges. Thanks to our 24/7 control room and a large pool of trained candidates, we were able to replace personnel within hours overnight. By the next morning, the event was fully staffed again, and operations continued without disruptions.
